We never returned to office life…and not because we don’t love a good desk plant. The remote shift revealed something more valuable. With the right people, clear processes, and a little intentionality, communication in a virtual world can actually be better than before.

Today, we’re a proudly 100% remote agency. And after years of building a thriving virtual team, here’s what running a remote marketing agency has taught us about communication: the good, the challenging, and the downright human.

1. Trust Is Everything (and We Mean EVERYTHING)

If communication is the engine, trust is the fuel.

We hire smart, capable people, then get out of their way and let them do their job (with support and assistance as needed). No micromanagement, no breathing down anyone’s virtual neck.

Our shared values, Trust, Communication, Care, Creativity, Growth, and Work/Life Balance, aren’t just wall décor (or digital wallpaper?). They guide how we show up every day. When everyone is aligned in values, communication becomes natural, honest, and respectful by default.

2. Structured Streamlined Channels Keep Chaos at Bay

Remote work can get noisy fast. Dings, pings, emails, chats, threads. You know how it goes.

That’s why we centralize communication through specific channels, such as having designated account leads for each client, to reduce crossed wires and burnout. Tools like Google Chat, email, and Hive don’t just exist in our tech stack. They’re managed deliberately to support focus.

Because “information overload” isn’t a badge of honour. It’s a bottleneck.

3. Celebrating Each Other Matters More Than You Think

One of our favourite communication channels? A simple, joyful Google Chat group called “Kudos.”

It’s where we celebrate the wins. Big, small, and everything in between. Someone solved a messy workflow issue? Kudos. Wrapped a big website build? Kudos. Survived Monday? Honestly… kudos.

Each month, our team also receives one of three rotating Letterloop newsletters, designed to strengthen connection in a different way:

Scoop keeps us connected beyond work, sharing team life updates, photos, and personal highlights. Applause celebrates professional wins, collaboration, and shout-outs that deserve a little extra spotlight. The Influence is where inspiration lives: from the song on repeat to a hobby project, hyper-fixation meal, or the show everyone’s bingeing.

It’s another way we make space for recognition, personality, and human connection. Because communication isn’t just about projects and deadlines. It’s about people.

4. Social Time Needs to Be Intentional When You’re Remote

When you no longer bump into each other while grabbing a coffee, you have to create those moments on purpose.

We schedule regular “happy half-hours,” themed virtual events, and in-person meetups to keep relationships strong. And our “Our Culture” page shows just how much personality (and how many bucket list dreams) live inside this team.

Remote doesn’t mean distant. It just means you plan connection, instead of hoping it happens.

5. Clear Processes & Roles Free Up Creative Energy

Creativity thrives in clarity.

Well-documented processes, defined responsibilities, and structured workflows (including using an external app called Hive for task planning and time tracking) help reduce friction, which means fewer “Wait, who’s doing that?” conversations and more time for the good stuff.

Value-based, intentional planning supports our team in focusing on what they do best: creating work that moves the needle for clients.

6. Data-Driven Transparency Builds Alignment

One source of truth.
One set of expectations.
Zero room for guessing.

Analytics, performance reviews, and shared dashboards give our team and our clients clarity on what’s working and where things need to shift. Transparency reduces the risk of miscommunication and makes sure everyone is speaking the same (data-driven) language.

7. Flexibility Fuels Well-Being and Better Communication

Remote work gives our team the freedom to work around energy cycles, take breaks when needed, and manage life as it happens. That flexibility isn’t just a perk. It’s a communication booster.

When people are rested, supported, and not wrestling with burnout, they communicate with clarity, patience, and authenticity. Autonomy isn’t a luxury; it’s part of how we keep engagement high and conversations productive.

8. Learning Happens in the Open (And Mistakes Do, Too)

Remote communication can only work if people feel safe being honest.
That includes admitting when something didn’t go as planned.

Our “fail fast” mindset encourages open conversations. No blame, no shame, just shared learning. Candid dialogue strengthens trust, which ultimately strengthens the work.

Because the only thing worse than a mistake is silence around it.

Takeaways for Any Remote Agency

Here’s what we’ve learned…and what any remote team can put into practice:

  1. Lead with trust. Hire great people and let them be great.
  2. Designate clear communication channels. Reduce noise and confusion.
  3. Celebrate often. Recognition builds culture.
  4. Be intentional about social connection. Remote shouldn’t mean isolated.
  5. Rely on documented processes. Structure empowers creativity.
  6. Stay transparent with data and performance expectations. Alignment prevents friction.
  7. Champion flexibility. Respecting people’s needs strengthens communication.
  8. Use mistakes as learning opportunities. Growth happens in conversations, not in silence.

Communication is the heartbeat of TDG, and remote life hasn’t changed that.
If anything, it’s made us better listeners, clearer collaborators, and more intentional partners for the clients we serve.
